The Administrative Assistant T&D performs administrative functions to implement, support and/or maintain programs, activities, operations, and initiatives of the HR Corporate Training & Development Department. In addition, will also serve as administrative support to VP, Human Resources.

Essential Job Duties:

Creates and maintains Training & Development Operating Procedures, i.e., documenting processes.
Maintains adequate levels of office supplies and ensures maintenance of equipment, i.e., printers, etc.
Schedules, coordinates, manages and maintains training registrations, rosters, attendance, course materials, training location logistics, etc.
Prepares and distributes materials for training classes, i.e., participant workbooks, tent cards, certificates, rosters and checklist
Organizes and manages office and related administrative systems, processes and records.
Generates and summarizes data, and prepares reports, i.e., classroom evaluations, spreadsheets, etc. Designs and develops presentations.
Handles on-going inquiries from the trainers, facilities, and Corporate office.
Works with vendors to track budget and manage invoices to ensure payment is made in a timely manner.
Maintains records of updates and all required information and files, either electronic or manual, such as reports, memos, letters etc.; sorts mail, make copies of materials and other office functions.
Performs other duties as assigned/required.

 
Requirements

Technical School, 2 years College or Associates Degree with a minimum of 3 years experience required.  Bachelor's Degree with 5 + years experience preferred.

Demonstrates working knowledge of general office administrative practices and secretarial functions such as: training and development operation procedures, scheduling and monitoring learning events and activities to ensure participation and attendance, training record maintenance, tracking and reporting, budget and invoice management, course material creation, coordination and site distribution, travel and meeting arrangements, office equipment requirements and maintenance, ordering and maintaining office supplies, business etiquette, and mail services.

Proficient in Microsoft Office: Word, Excel, Powerpoint, Outlook; working knowledge of the Intranet and Internet. Working knowledge of Lawson or other HRIS. Ability to manage multiple projects, duties and assignments. Possesses excellent organizational skills with the ability to prioritize and work to very high standards; Ability to operate standard office equipment: computers, telephones, copiers, printers, fax machines, etc. Communicates effectively, both written and verbal; Adopts a flexible approach to managing challenging situations; Attention to detail and high level of accuracy; Ability to work with all levels of the organization and be flexible to serve the needs of our customers; Works effectively and efficiently on own as well as with others in a team environment; Demonstrates flexibility in work environment and performs a variety of frequently changing tasks. Minimal travel. Job may require lifting, carrying, or pushing items up to 30 lbs.
